Health and dental clinics

The problem we see most

Clinic front desks are juggling patients at the counter, payments, ACC paperwork and a phone that doesn't stop. When the phone wins, the patient in front of you waits. When the patient wins, the caller hangs up.

We help clinics answer every call without adding headcount: overflow and after-hours call handling, appointment requests, reminders and recalls, all with clear limits on what the AI can and can't discuss.

Three situations, and what changes

  • 01

    Morning call rush

Everyone rings between 8 and 9 am to book, change or cancel.

    With automation

Overflow calls are answered by the AI, which takes the request and either books it or queues it for staff to confirm.

  • 02

    No-shows and late cancellations

Empty chairs cost money and push out other patients.

    With automation

Reminders by text with simple confirm or reschedule replies, and a waitlist message when a gap opens.

  • 03

    After-hours worries

Patients ring at night with pain or a question.

    With automation

The AI gives your approved after-hours information, points to Healthline or emergency services where appropriate and takes a message for the morning.

Example maths

Worked example: a four-chair dental practice

Preventing two no-shows a week at around $220 each is about $440 a week, or roughly $1,900 a month in recovered appointment time, before counting the calls answered during the morning rush. Example numbers only. Use the missed call calculator with your own figures.

Works with the tools you already use

Practice management systems vary widely in what they allow. Where direct booking isn't available, the AI captures a booking request for staff to confirm in seconds. We confirm the options for your system first.

Will the AI give medical advice?

No. It is configured never to diagnose, triage clinically or give treatment advice. It uses only the information you approve, such as hours, location, fees wording and what to do in an emergency, and passes clinical questions to your team.

How is health information protected?

Health information is covered by the Health Information Privacy Code 2020. We keep the data collected to the minimum needed to book, store it in accounts set up for your practice and explain any offshore processing in your privacy statement. Your practice remains responsible for its privacy obligations, and we help you document the setup.

FAQ

Health and dental clinics: common questions

Ask us something else
Can it book directly into Cliniko?

Cliniko has an API and online booking, so direct or semi-direct booking is often possible. We test it with your account before go-live.

What does it say in an emergency?

Exactly what you approve, typically directing callers to 111 for emergencies or Healthline for health advice, and taking details for a callback.

Can patients choose to speak to a person?

Always. During opening hours the call can be passed to reception, and after hours a message is taken for first thing in the morning.

Does it handle ACC questions?

It can give your approved general information, such as whether you are an ACC-registered provider and what to bring, and pass anything specific to your team.
