Workflow automation
Why it matters
Most small businesses lose more money to things that didn't happen than things that went wrong. The quote that was never chased, the review that was never asked for, the client who was never reminded. None of it is hard. It just relies on someone remembering, on a busy day.
We start with the workflows that are closest to revenue, then work outward. You get a clear map of every automation, what triggers it and who can change it, so nothing feels like a black box.

Which tasks should I automate first?
Start where money leaks: replying to new enquiries, chasing quotes, reminding people about appointments and asking for reviews. These are simple, repeatable and directly tied to revenue. Leave anything that needs judgement or a sensitive conversation to people. We list a dozen good starting points in 12 workflows to automate first.
Will it work with Xero, MYOB and my job software?
Often, yes. Xero, MYOB and many NZ job management tools have integrations or APIs, and automation platforms can move data between them. Some connections are simple, some need a workaround, and a few are not possible without the vendor's help. We test each connection before we build around it and tell you plainly what we found.
What does business automation cost in NZ?
It depends on how many workflows, tools and edge cases are involved. A small set of follow-up and reminder automations inside a CRM is a modest one-off build. Multi-system workflows with custom data handling take longer. We quote a fixed price in NZD after the process audit, so you know the cost before any work starts.
Is AI involved?
Only where it helps. Many great automations are simple rules: "if this, then that". We add AI for things like summarising a call, drafting a reply, sorting incoming emails or answering common questions, and always with clear limits and a person able to step in.
Will automation make my business feel impersonal?
Not if it is done well. The messages are written in your voice, sent at sensible times, and stop as soon as a real conversation starts. Customers mostly notice that you are quick and organised.
Can I change the automations myself?
Yes. We build them in a visual editor and show you how to edit wording, timing and who gets notified. Bigger changes can be part of a monthly care plan.
What if an automation goes wrong?
We build in safeguards such as stop conditions, daily send limits and alerts when something fails. Every workflow can be paused with one click.
Do I need a CRM first?
Most automations need a place to store contacts and track status, so we usually set up or tidy the CRM as part of the project. See CRM and HighLevel setup.
How long does it take?
A first set of three to five workflows usually takes two to four weeks including testing.
