What are you actually paying for?
An AI receptionist has four cost parts. Understanding them makes quotes far easier to compare.
- Software subscription. The platform that runs the voice AI, usually a monthly fee. Some are standalone AI phone tools; others, like HighLevel, bundle it with a CRM and automation.
- Usage. Voice minutes, phone numbers and text messages. Charged per minute or per message, often in US dollars.
- Setup. Designing the call flow, writing and testing scripts, connecting your calendar and CRM, and setting transfer and emergency rules. This is usually a one-off fee.
- Ongoing support. Monitoring calls, updating information (prices, hours, holiday closures) and improving the script as you learn what callers ask.
What does it cost in NZ in 2026?
As a rough market guide in October 2026:
| Part | Typical range (NZD) |
|---|---|
| AI receptionist software | about $75 to $300 a month |
| Usage (minutes and texts) | from a few dollars to a few hundred a month, depending on volume |
| Setup | a fixed fee agreed up front, depending on complexity |
| Ongoing support | optional monthly fee |
Prices change often, many tools bill in US dollars, and exchange rates move. Treat these ranges as a starting point, and always ask for a written quote that separates each part.
If the setup uses HighLevel, its published plans start at US$97 a month at the time of writing, with higher tiers at US$297 and US$497. Check HighLevel’s pricing page for current figures. We are an independent business and not part of HighLevel.
How does that compare with the alternatives?
A person. A part-time receptionist is the most flexible option, and the most expensive. Once you include wages, KiwiSaver contributions, leave and the cost of covering breaks, it is many times the cost of an AI receptionist. A person is still the better choice where calls need judgement, empathy or complex scheduling all day.
A human answering service. NZ answering services typically charge a monthly fee plus per-call or per-minute rates. They are good at taking messages but often can’t book directly into your calendar. See our comparison of AI receptionists and answering services.
Voicemail. Free, and the most expensive of all if callers hang up without leaving a message and book someone else.
What makes the cost go up?
- High call volume. More minutes, more usage cost.
- Complex booking rules. Multiple staff, job types, service areas and durations take longer to set up properly.
- Integrations. Connecting practice or job management software can take extra work, and isn’t always possible.
- Multiple locations or languages. Each adds scripts and testing.
What should you check before you buy?
- Does it say it is an AI at the start of the call? It should. See is AI call answering legal in NZ.
- Can it transfer to a person when the caller asks or it gets stuck?
- Will it book directly into your calendar, or just take messages?
- Where is call data stored, and is it used to train other models?
- Can you keep your number?
- Is there a fixed setup price and a clear monthly cost in writing?
- Who updates it when your hours or prices change?
How do I know if it is worth it?
Work out what missed and unanswered calls cost you now. If you miss ten calls a week and three would have become $400 jobs, that is $1,200 a week of potential work. Our missed call cost calculator does the maths with your numbers.
If the answer is a few hundred dollars a month, start with missed call text back, which is cheaper. If it is thousands, an AI receptionist usually pays for itself quickly.
